Growing pains in finance
In 2018, Kieser had just 13 clinics. But as new sites opened across the country, the finance function was falling behind. With 27 separate Xero instances and a highly manual month-end close, the team was bogged down in spreadsheets, struggling with version control, data accuracy and inconsistent reporting.
“We were drowning in manual labour with data entry,” said CFO and Director Dianna Butterworth. “We had bookkeepers to clinics at a one-to-five ratio, and the systems just weren’t talking to each other.”
To support national growth, Kieser needed a system that could consolidate finance, connect key business systems, and bring structure to budgeting, reconciliation and reporting. Kieser partnered with Annexa to design and deploy a finance architecture capable of supporting national growth.

A single system for national scale
The shift to NetSuite brought immediate relief to Kieser’s finance team. What had been a labour-intensive, spreadsheet-heavy budgeting process was replaced with a platform built for scale.
By consolidating 27 Xero instances into a single system, Kieser eliminated duplication, reduced reconciliation complexity and gained greater confidence in its numbers. A Celigo integration between NetSuite and Kieser’s custom front-of-house system, Logic Plus, also streamlined the order-to-cash process—creating a cleaner data flow from clinic to finance.
“In 2022 we found Annexa,” said Butterworth, “who’ve been amazing for us through the journey. They introduced us to Celigo. We’ve got a custom CRM system in the front, so we use Celigo to connect those two systems, which was a seamless integration. They introduced us to Zone & Co, who take care of all of our AI and read all of our supplier invoices every week. And we use a product called ExpenseMe for all of our credit cards.”
With the data foundations in place, Kieser layered in NetSuite Planning and Budgeting (NSPB) and NetSuite Account Reconciliation (NSAR) to replace its spreadsheet-heavy workflows. Budgeting cycles shrank from three months to one. Reconciliations became faster. Data accuracy improved.
“We had close to 80 Excel spreadsheets… It got to the point where I was like, I just cannot do this heading into FY26. We then started a conversation about the EPM suite,” said Butterworth.
Today, Kieser operates from a single source of truth. Regional and clinic leaders have access to real-time performance data. Head office teams collaborate more effectively across finance, people and marketing.
The transformation has elevated the finance function. Kieser’s team now focuses less on chasing data and more on shaping the business. “My team go from being data entry checkers to real analysts,” shared Butterworth.
